Privacy Policy
Last updated: 26 July 2026
This Privacy Policy explains how Heard Hospitality Consulting Ltd ("Heard.", "we", "us" or "our") collects, uses and protects personal information when you visit our website or submit an enquiry to us. We are committed to handling your data responsibly and in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are
Business name: Heard Hospitality Consulting Ltd
Company number: 17239514
Contact email: tom@heardhospitality.uk
For the purposes of data protection law, Heard Hospitality Consulting Ltd is the "data controller" of the personal information described in this policy.
2. What information we collect
We collect personal information only when you choose to contact us through the enquiry form on our website (built using Tally). Depending on what you enter, this may include:
Your name
Your email address
Your phone number (if you provide one)
The name and details of your business
Any other information you choose to include in your message to us
We do not use analytics tools, advertising trackers, or marketing platforms on this website. Our website is hosted on Squarespace, which may set a small number of essential or functional cookies as part of providing the hosting service. These are described further in Section 6 (Cookies) below.
3. How we use your information
We use the information you submit through our enquiry form only to:
Respond to your enquiry and discuss the services you've asked about
Prepare proposals, quotes, or scheduling for consultancy work
Keep a record of our correspondence with you, where reasonably necessary
We do not use your information for automated decision-making or profiling, and we do not sell or rent your personal information to any third party.
4. Our legal basis for processing
We rely on the following legal bases under UK GDPR:
Legitimate interests — responding to enquiries and managing prospective and existing client relationships is a core, expected part of running a consultancy business.
Contract — where we go on to provide services to you, we process information as necessary to perform that contract.
5. Who has access to your information
Enquiry form submissions are collected via Tally (Tally Labs), which processes the data on our behalf and stores it until we retrieve or delete it. Our website itself is hosted by Squarespace, Inc. Both providers may process personal data outside the UK/EEA; where they do, they rely on their own approved safeguards (such as Standard Contractual Clauses) to protect your information.
We do not share your information with any other third party except where required by law.
6. Cookies
We do not use cookies for advertising, analytics, or tracking purposes. Squarespace, our website hosting provider, may set a limited number of strictly necessary cookies to enable core site functionality (such as page loading and security). These cookies do not identify you personally and cannot be switched off without affecting how the site works.
7. How long we keep your information
We keep enquiry information for as long as reasonably necessary to respond to you and, where a business relationship follows, for the duration of that relationship plus a reasonable period afterwards for accounting, legal, and record-keeping purposes. If your enquiry does not lead to further work, we aim to delete your details within 12 months unless you ask us to keep them for future reference.
8. Your rights
Under UK GDPR, you have the right to:
Access the personal information we hold about you
Ask us to correct inaccurate information
Ask us to delete your information
Object to or restrict how we use your information
Ask for your information to be provided to you in a portable format
Withdraw consent at any time, where we rely on consent
To exercise any of these rights, please email tom@heardhospitality.uk. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk if you have concerns about how we handle your information.
9. Children's information
Our website and services are aimed at businesses and business owners. We do not knowingly collect personal information from children.
10. Changes to this policy
We may update this Privacy Policy from time to time, for example if our website or services change. Any updates will be posted on this page with a revised "last updated" date.
